Lumix is a startup changing how organisations procure services for corporate and large-scale events. As a new entrant, Lumix aims to unify fragmented, manual event planning workflows on a digital platform that connects event managers, suppliers, and account managers, enabling stronger decision-making and cost control.

The identified problem that needed a solution: 

Event managers were struggling to evaluate and compare multiple supplier quotes and proposals that varied widely in format, scope, and clarity. The inconsistency in how different suppliers presented information hindered managers from making straightforward, like-for-like comparisons, complicating efforts to identify the most appropriate option for their events. This lack of standardisation not only increased the time required to review documents but also contributed to significant cognitive load and decision fatigue. 

As a result, selecting the best option became both time-consuming and stressful, often leading to reliance on intuition rather than structured insight. Manual coordination via email and spreadsheets created administrative overhead, slowed procurement cycles, and increased costs. As a startup, Lumix also needed to ensure that the product requirements, user experience, and value proposition were clearly defined before development began, while still moving quickly to market.

What solution did Warp provide?

We partnered with Lumix to deliver an integrated, AI-enabled event procurement platform. The project began with a detailed discovery and design phase, during which we refined requirements and mapped the user journey. AI design tools helped rapidly explore layouts, workflows, and visual styles, giving the client clear product visuals early and building assurance that their needs were understood and addressed. 

A Central Supplier Marketplace

The resulting platform addressed the identified challenges by introducing a central supplier marketplace that consolidated supplier options and eliminated the need to track disparate communications across channels. Standardised quote and proposal management ensured that all supplier submissions followed a consistent format, thereby enabling event managers to make clear, direct comparisons between proposals.  

AI Supported Decision Tool: 

Role-based access for clients, suppliers, and account managers further reduced administrative burden by streamlining workflow responsibilities and ensuring secure, relevant access. The inclusion of an AI-supported decision tool directly addressed cognitive overload by systematically evaluating proposals based on value, suitability, and cost, thereby replacing intuition-driven decisions with data-driven analysis. Lastly, by leveraging AI tools in the development process, the team expedited the creation of a production-ready MVP within three months, facilitating a rapid market launch and early validation of the platform’s effectiveness. 

Project Results

By standardising supplier proposals and centralising communications, the platform significantly reduced the time and effort required to procure event services. This streamlined process provided event managers with clearer visibility into supplier options and enhanced their confidence in making selection decisions. The integration of AI-assisted recommendations directly supported better decision-making by systematically evaluating proposals, thereby alleviating cognitive strain during proposal assessment.  

As a result of these improvements, clients using the platform achieved measurable cost savings, reducing event spend by up to 30%. Furthermore, the rapid delivery of a turnkey MVP within three months enabled Lumix to validate its business model, swiftly onboard early customers, and establish a robust foundation for future product scaling.
